B-I. Digital Finance Summit — Terms and Conditions

B0. Identification

The Digital Finance Summit (the "Summit") is organised by FinTech Belgium vzw/asbl, a non-profit association under Belgian law, with registered office at Witte Patersstraat 4, 1040 Etterbeek, Belgium, enterprise/VAT number BE 0652.997.664 ("we", "us", "the organiser"), operating the website www.digitalfinancesummit.com.

B1. Acceptance of these terms

By using this website or purchasing a ticket to the Summit, you accept these terms and conditions in full. If you do not agree with any part of these terms, please do not use the website or purchase a ticket.

B2. Tickets and pricing

Ticket prices, categories (e.g. standard, VIP, group), and availability are as published on this website at the time of booking. Unless stated otherwise, prices are in euro (EUR) and exclusive of the applicable Belgian VAT (currently 21%), which is added at checkout. Please note that, because the place of supply for VAT purposes is where the Summit physically takes place, Belgian VAT at 21% applies to your ticket purchase whenever the Summit takes place in Belgium, regardless of the country from which you place your order or where you, as the purchaser, are established or resident. Your order is confirmed once payment has been received in full through the secure payment methods offered on this website, after which you will receive an order confirmation and ticket by e-mail. If you require an invoice for your purchase (for example for a corporate registration), FTBE's general invoicing terms and conditions additionally apply to that invoice.

B3. Right of withdrawal — not applicable to Summit tickets

Under Belgian and EU consumer law (Book VI of the Belgian Code of Economic Law, implementing Directive 2011/83/EU), consumers ordinarily benefit from a 14-calendar-day right of withdrawal for online purchases. This right does not apply here: Article VI.53, 12° of the Code of Economic Law excludes the right of withdrawal for services relating to leisure activities where the contract provides for a specific date or period of performance. As the Summit takes place on a specific, published date, your ticket purchase is not subject to the standard withdrawal right, and once confirmed, cannot be cancelled on that basis. This is without prejudice to the cancellation, postponement, and refund provisions in Article B4, and to any other mandatory consumer right under Belgian law.

B4. Bookings, substitutions, transfers and refunds

All bookings are final. Save as otherwise set out in this Article B4, and in accordance with the right-of-withdrawal exemption in Article B3, tickets are non-refundable and no refund will be given if you cancel your booking. Substitutions of attendees may be permitted, subject to availability and a potential administration fee. Ticket transfers to another attendee may likewise be allowed, subject to availability and any applicable administration fee; please contact us in advance. We reserve the right to change the date, venue, or format of the Summit (including moving between in-person, hybrid, or virtual formats); your ticket will remain valid for the rescheduled Summit. If we cancel the Summit and do not reschedule it, a full refund of the ticket price will be issued. If the Summit is postponed, your ticket will remain valid for the new date; if you are unable to attend the new date, you may request a refund within a reasonable period following the announcement of the new date.

B5. Force majeure

We are not liable for any cancellation or delay caused by circumstances beyond our reasonable control, including but not limited to strikes, extreme weather, government restrictions, or pandemics. In such cases, we will make reasonable efforts to reschedule the Summit or offer refunds where appropriate, in accordance with Article B4.

B6. Travel and accommodation

We are not liable for any travel, accommodation, or other costs you incur in connection with attending the Summit, including where the Summit is cancelled, postponed, or otherwise changed.

B7. Code of conduct

By attending the Summit, you agree to comply with our Code of Conduct, set out in full in Part B-II below, which forms an integral part of these terms and conditions. We may remove any attendee who violates the Code of Conduct from the Summit without refund.

B8. Data protection and privacy notice

FTBE, with registered office as stated in Article B0, acts as data controller for the personal data processed through this website and in connection with your registration for and attendance at the Summit. This clause is FTBE's privacy notice for that purpose; FTBE does not currently maintain a separate standalone privacy policy document.

Data collected: FTBE processes the personal data you provide when registering for the Summit, in particular your name, organisation, job title, e-mail address, billing details, payment confirmation, dietary or accessibility requirements, and, where applicable, your image where you are photographed or filmed on-site for reporting, archival, or marketing purposes.

Purpose and legal basis: this data is processed to process your registration and payment (performance of a contract), to organise the Summit and communicate with you about it, to comply with FTBE's legal and accounting obligations (legal obligation), and, where you have not objected, for marketing purposes including using event photography or footage and inviting you to future FTBE events (legitimate interest, subject to your right to object at any time free of charge).

Recipients: personal data is shared only with service providers FTBE relies on to deliver the Summit, such as the ticketing and payment platform, venue, and catering providers, acting under FTBE's instructions. If badges are scanned by sponsors or exhibitors at the Summit, your data is shared with them only where you have consented to this, for example by allowing your badge to be scanned at their stand; you may decline at any time without affecting your attendance. FTBE does not sell personal data to third parties. Where a service provider is located outside the European Economic Area, FTBE ensures appropriate safeguards are in place in accordance with the GDPR.

Retention: personal data is kept for no longer than necessary for the purposes described above, and in any case no longer than five years after the Summit you attended, save where a longer period is required by law — for example, invoices and related data must be kept for seven years under Belgian accounting rules.

Your rights: you have the right to request access to, correction of, or deletion of your personal data, to restrict or object to its processing, and to data portability, under the conditions set out in the GDPR. You may exercise these rights by contacting us using the details in Article B10. You also have the right to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données, Brussels — www.gegevensbeschermingsautoriteit.be).

B9. Cookies

This website may use cookies and similar technologies. Strictly necessary cookies, needed for the website and the ticket registration process to function, are placed without requiring your consent. Where the website also uses analytics cookies (to understand how visitors use the website) or marketing cookies (for advertising or social media integration), these are only placed with your prior consent, given through the cookie banner shown when you first visit the website; you can withdraw or change your consent at any time via that banner or your browser settings, and you can also configure your browser to refuse cookies altogether, though this may affect the website's functionality. FTBE does not currently maintain a separate standalone cookie policy document; this clause describes FTBE's use of cookies on this website.

B10. Contact and complaints

For any question or complaint, please contact us at info@fintechbelgium.be or by post at the address in Article B0. We will make reasonable efforts to resolve any complaint directly; you may also contact the Belgian Consumer Mediation Service (Consumentenombudsdienst / Service de médiation pour le consommateur — www.consumentenombudsdienst.be / www.mediationconsommateur.be) for an out-of-court settlement of any dispute that cannot be resolved directly.

B11. Website content and images

Some images used on this website are generated or enhanced using AI technology for illustrative purposes and may not depict actual locations, venues, or past editions of the Summit precisely. The information on this website is provided for general informational purposes and does not constitute financial, legal, or professional advice.

B12. Submitted content and intellectual property

If you submit materials to us (for example as a speaker or partner), you confirm you own the necessary rights or have the right to share them, and, unless you object in writing beforehand, you grant us a free-of-charge, non-exclusive right to publish that content in connection with the Summit. We and our content contributors retain all intellectual property rights in content published on this website; it may only be shared for non-commercial purposes, with a working link to the source, author attribution, and without modification.

B13. Changes to these terms

We may update these terms and conditions from time to time; the version published on this website at any given time applies. Changes do not affect tickets already purchased before the change was published.

B14. Governing law and jurisdiction

These terms are governed exclusively by Belgian law. Without prejudice to any mandatory consumer-protection rules, any dispute falls within the exclusive jurisdiction of the courts of the judicial district of Brussels.

B-II. Code of Conduct

This Code of Conduct applies to all attendees, speakers, sponsors, exhibitors, and staff at the Summit, and forms an integral part of these terms and conditions (see Article B7).

I. Respect for All

Treat everyone with kindness, respect, and courtesy, regardless of gender, race, ethnicity, age, sexual orientation, disability, religion, or background. Be considerate of others' personal space, opinions, and boundaries.

II. Inclusivity

Welcome and include all participants. Ensure no one feels excluded or marginalised. Avoid any form of discriminatory or exclusionary behaviour.

III. Positive Communication

Engage in constructive and respectful communication. Avoid derogatory, offensive, or inflammatory language. Be mindful of tone and body language when interacting with others.

IV. Harassment-Free Environment

Any form of harassment, including sexual harassment, bullying, intimidation, or unwelcome advances, is strictly prohibited. Report any inappropriate behaviour to event organisers immediately.

V. Substance Use

Consume alcohol responsibly (if served). Do not pressure others to partake. Illegal substances or activities are not allowed.

VI. Consent

Always seek explicit, informed consent before engaging in physical contact (including hugs, touching, etc.). Respect others' boundaries and their right to decline interaction without question or pressure.

VII. Conflict Resolution

If conflicts arise, approach them with empathy and an open mind. Seek peaceful resolutions or report the issue to event organisers if necessary.

VIII. Health and Safety

Prioritise the health and safety of others. Avoid actions that could harm others physically or emotionally. Follow all venue safety rules and instructions from organisers, including COVID-19 precautions, if applicable.

IX. No Disruptive Behaviour

Avoid behaviour that disrupts the event or other participants' enjoyment. Respect the venue, its property, and event staff.

X. Consequences for Violations

Failure to comply with this Code of Conduct may result in removal from the event and potential barring from future events. Organisers reserve the right to take any actions necessary to maintain a safe, inclusive environment. Removal from the event by the Organisers does not entitle you to any refunds or compensation.
